About the Role
<h2>Administrative Assistant</h2><p>We are seeking an experienced Administrative Assistant to perform a variety of complex administrative functions for all levels of management, including external business partners. This role supports engineering and program management teams in India and requires adaptability, urgency, and the ability to handle fast-paced environments.</p><h3>Key Responsibilities</h3><ul><li>Managing schedules and coordinating travel arrangements.</li><li>Processing business expenses and coordinating meetings and events.</li><li>Managing department financial operations and personnel operations.</li><li>Overseeing facility operations and procurement of goods/services (equipment, office supplies, reference materials).</li><li>Vendor relationship management and general office support.</li><li>Acting as department/group contact and completing special projects.</li><li>Ensuring compliance with administrative policies.</li><li>Partnering with support staff across the organization.</li><li>Coordinating catering, venue selection, and logistics for events, offsites, and morale events.</li><li>Maintaining security groups and distribution lists.</li><li>Managing headcount, onboarding, and offboarding processes.</li><li>Handling expense reports and budget reports.</li><li>Managing space allocation and facilities requests.</li><li>Executing additional projects and building relationships with internal/external partners.</li><li>Maintaining a strong customer service attitude.</li></ul><h3>Requirements</h3><ul><li>Minimum of 2+ years of administrative experience.</li><li>Bachelor?s degree preferred.</li><li>Strong written and verbal communication skills.</li><li>Customer service orientation and relationship-building skills.</li><li>Business maturity and self-confidence.</li><li>Ability to prioritize multiple projects and strong problem-solving skills.</li><li>Proficiency in Microsoft Word, Outlook, PowerPoint, Excel, and Teams.</li><li>Strong planning, collaboration, and analytical skills.</li><li>High attention to detail and ability to adapt to change.</li><li>Ability to handle ambiguity and possess a positive and impactful personality.</li></ul><h3>Work Arrangements</h3><ul><li>Type: Onsite</li><li>Reason: Admin/Executive support requires office presence.</li><li>Equipment: Provided by supplier.</li></ul>
